# Manage billing, plan and seats

<Lead>
Under **Settings > Billing** (Einstellungen > Abrechnung) the owner of your workspace manages plan, balance, payment method and invoice details in one place. Everything that causes costs is a deliberate decision made there.

The billing pages are reserved for the owner role. Admins and members do not see them. As a member you can always see your personal usage under **Account > Usage & Credits**.

<Info title="Your payment data stays with our payment provider">
You enter your IBAN or card number in a field that comes directly from Stripe (PCI DSS Level 1). It never reaches our servers. We only store what is needed to display it: the type of payment method, the last four digits and, for cards, the expiry date.

## The billing overview

The **Settings > Billing** page shows you at a glance:

- **Current plan:** your plan with price, included credits, seats and features. During the trial you see your trial credits and the trial end date instead.
- **Credits:** your available balance with its euro equivalent and the direct path to buying more. Details: [Understand and top up credits](/help/howto/topup-credits).
- **Payment & billing:** your stored payment method and your invoice details.
- **Invoices:** every invoice as a PDF with VAT stated.

## Choose or change your plan

    Under **Settings > Billing** click **Plan wählen** (choose plan, during the trial) or **Plan wechseln** (change plan).

    Available tiers are Compact, Standard (recommended) and Max, each with price, credits per month, included seats and a feature list. An overview of the tiers is also in [Tools and pricing models](/help/grundlagen/tools-und-preismodelle).

    An upgrade takes effect immediately: features and member seats follow the new plan. The new credit allowance starts with the next billing period. If you choose a plan from within the trial, the trial ends and your workspace stays permanently active, including your own subdomain.

## Downgrade: one tier smaller

You switch to a smaller plan via the text link below the plan cards. Before the change, a dialog shows a warning list with all consequences, for example:

- Your credit allowance drops starting with the next period.
- Features of the larger plan pause; your settings stay saved.
- Members beyond the included seats of the smaller plan are deactivated. No data is lost.

You can only confirm after ticking the mandatory checkbox **Ich verstehe die Änderungen und möchte wechseln** (I understand the changes and want to switch).

## Max+: the custom offer

If your office needs more than the Max plan, there is **Max+** from 599 euros per month as a custom contract: with negotiable terms, very large storage, a dedicated account manager and further extras. Use **Angebot anfragen** (request an offer) to get in touch; you receive an answer within one business day.

## Manage seats

Under **Settings > Members**, the **Seats & capacity** section shows how many seats are occupied and free.

    Every plan includes a fixed number of seats. As long as seats are free, you simply create more staff accounts. Guide: [Staff accounts](/help/howto/invite-members).

    When all seats are taken, the owner subscribes to another seat for 19 euros per month, including 250 extra credits for the person on the seat. Extra seats can be ended at any time. Every plan has a seat ceiling; once reached, moving to a larger plan helps.

  <DefItem term="Deactivated seats after a downgrade">
    If your new plan no longer covers all seats, the newest seats are locked until you keep them as paid seats, change the plan, or remove the members. No data is lost in the process.

## Find and download invoices

Under **Settings > Billing** the **Rechnungen** (invoices) section lists your five most recent documents; **Alle Rechnungen** takes you to the full archive.

Every row shows date, invoice number, amount and status. **PDF** downloads the document, with VAT stated and your billing address.

    The amount has arrived. With SEPA this happens a few days after the invoice, because the bank has to confirm the direct debit first.

    The invoice has been issued, the charge is still in progress. With SEPA this is normal for a few days and no cause for concern.
  </DefItem>
  <DefItem term="Wird erstellt (being created)">
    The document is produced a few seconds after the invoice. If it stays that way for more than a few minutes, contact support.

<Info title="Your documents live with us">
The PDF comes from our domain, not from the payment provider. We keep every invoice unalterable for ten years, as German GoBD rules require. It stays available even if you change your plan.

<Info title="Only the owner sees invoices">
This covers the document itself, not just the page: the download link does not work for admins or members. An invoice states your address, VAT ID and what your office pays.

## Add or change your payment method

You add a payment method while setting up your workspace, including for the trial. It is only charged once the trial ends, and you are reminded beforehand.

You can choose **SEPA direct debit** (the standard for German offices: a debit from your business account) or **credit card** (Visa, Mastercard, American Express).

    **Replace payment method** opens the secure entry field. Nothing is charged in the process.

    For a credit card your bank may ask for approval depending on the card. For SEPA you grant the mandate directly in the field. The new method applies from the next charge onwards.

<Info title="Why there is no remove button">
The stored method is the one your subscription is charged to. Removing it without adding a new one would make the next charge fail. That is why there is only replace.

Below the card you see your mandate reference. That exact string appears on your bank statement: if you wonder what a charge belongs to, the answer is there.

## Maintain invoice details

In the **Payment & billing** section under **Settings > Billing** you provide:

- **Billing email:** invoices and payment notices go to this address.
- **VAT ID:** optional. For B2B customers in Austria and the EU it enables the reverse charge procedure.
- **Billing address:** company or name, street, optional address line, postal code, city and country (Germany, Austria, Switzerland).

    There is no separate cancel button. You scale down via a downgrade to a smaller plan. Monthly credit packs are cancelled directly in the credit management, see [Understand and top up credits](/help/howto/topup-credits).

    The new credit allowance starts with the next billing period. Until then you keep working with your current balance.
