# Capabilities

The assistant can do far more than answer: it uses tools to search your data, research the web, work with onOffice, and even generate images. This page is the complete reference, including the rules under which it asks for permission before every change.

## Inputs and context

  <DefItem term="File attachments">Up to 6 files per message: images and PDFs up to about 6 MB each, text files up to 200 KB. Attach via drag and drop, through the composer, or straight from the clipboard, including screenshots. Images and PDFs are read for their content, not just their file name.</DefItem>
  <DefItem term="@ mentions">With `@` you mention up to 6 properties or leads. The assistant pulls their data itself and works with them directly.</DefItem>

<Info title="When a PDF is rejected">
If the AI provider rejects a PDF (for example because of its format), the assistant automatically retries the answer once without the PDF and tells you so in the chat. Your question is not lost.

## Tools: your data

<DefinitionList>
  <DefItem term="Properties">Searches and reads your property records, for example for summaries, comparisons, or listing copy.</DefItem>
  <DefItem term="Files">Searches your files by name and content (semantically, so it also finds matches by meaning). The assistant only sees files you are allowed to see yourself.</DefItem>
  <DefItem term="Runs">Reads the status of your tool runs, for example homestaging or listing runs: what is finished, what is still in progress.</DefItem>
  <DefItem term="Tasks">Reads your tasks and can create new ones or change existing ones, the latter always only after your confirmation. Tasks are mirrored to onOffice when the connection exists.</DefItem>
  <DefItem term="DB-Leads">Filters your database like the list (signal, sale readiness, status, phase, owner, keywords in the AI output), reads findings and a contact's full dossier, gives you the numbers, and after your confirmation writes notes, follow-ups, phases, ownership, finding decisions and sale readiness. In the DB-Leads customer view the assistant is additionally embedded directly (**REOS AI · dieser Lead**, this lead), with the lead dossier attached automatically.</DefItem>

## Tools: knowledge and web

  <DefItem term="Help &amp; docs">Searches the platform's public help documentation and answers "how do I ...?" questions with a link to the right page.</DefItem>
  <DefItem term="Web search">Researches current information on the web, for example about places, companies, or events.</DefItem>
  <DefItem term="Market &amp; regulatory data">Fetches real estate reference data: rent indexes (Mietspiegel), comparable listings, and GEG disclosure requirements for listings.</DefItem>

## Tools: appointments and communication

<DefinitionList>
  <DefItem term="Appointments">Reads your appointments with guest, time, appointment type, and property, names real free slots from your availability, and can cancel an appointment. Cancelling automatically sends the guest the notice with a rebooking link and clears the calendar, exactly like the cancel button in the booking tool. It is locked by default and has to be enabled deliberately.</DefItem>
  <DefItem term="WhatsApp">**Only with the „WhatsApp-Bot mit KI-Assistent" tier (79 EUR per month).** The standard tier (29 EUR) includes the bot, but not the assistant's WhatsApp capabilities. Shows your WhatsApp conversations, who is waiting for a reply, and the full history of a conversation. It can also reply on request; WhatsApp's 24 hour rule applies: if the prospect has not written for more than a day, no free-form message is possible, and the assistant says so instead of trying. Replying is locked by default.</DefItem>
  <DefItem term="Send e-mail">Writes and sends an e-mail on behalf of your office, with sender and signature from your company details. Locked by default.</DefItem>
  <DefItem term="Log a note in the CRM">Writes a note into the broker log of an onOffice contact. Locked by default, because the entry is visible to the whole office and can only be removed in onOffice itself.</DefItem>
  <DefItem term="Save a file">Saves a result as a file under **My files / Assistant**. This is how long documents come about that would not fit into a chat reply.</DefItem>

## Tools: integrations and images

<DefinitionList>
  <DefItem term="onOffice">Reads broker log activities, contacts, and staff from your onOffice. With the personal **AI Connector** (a personal plugin under **Assistant > Plugins**, once the administration has approved it, see [Plugins](/tools/agent/plugins)) the assistant works with your own CRM permissions: it sees exactly what you may see in onOffice, nothing more.</DefItem>
  <DefItem term="AI homestaging">Generates homestaging images directly in the chat, for your properties or based on recently used images. The costs are the same as in the homestaging tool itself.</DefItem>

## Built-in capabilities

Independent of the tools, the assistant works like this:

  <DefItem term="Visible plan">For bigger tasks it shows a step plan and works through it visibly, so you always see where it stands.</DefItem>
  <DefItem term="Artifacts">Results such as an email draft, listing copy, comparison table, or checklist arrive as dedicated cards, cleanly formatted and ready to copy.</DefItem>
  <DefItem term="Structured follow-up questions">If information is missing, it asks, with clickable answer options instead of guesswork.</DefItem>
  <DefItem term="Rephrasing">Every answer can be rephrased with one click: shorter, more formal, or in English.</DefItem>
  <DefItem term="Regenerate">If you do not like an answer, have it regenerated, optionally repeated in Premium mode.</DefItem>
  <DefItem term="Copy and feedback">You can copy answers and rate them with thumbs up or down.</DefItem>
  <DefItem term="Long tasks">It works through large jobs in many steps, across several minutes if needed. Reload the page or switch devices and it keeps going, and the chat reattaches. A single job has a cost ceiling: once it is reached the assistant stops and says so, instead of quietly running on.</DefItem>
  <DefItem term="Memory">On request it remembers personal preferences and uses the workspace knowledge vault. Details: [Knowledge and memory](/tools/agent/wissen-und-gedaechtnis).</DefItem>

## Confirmation before changes

Every action that changes data (for example creating or changing a task) is first shown as a confirmation card in the chat, with the full details of what would happen:

  <DefItem term="Ablehnen (decline)">Discards the action, nothing happens.</DefItem>
  <DefItem term="Für diesen Chat erlauben (allow for this chat)">Allows the same kind of action for the rest of this chat, meant for bulk changes (say, 20 tasks in a row) so you do not have to click 20 times. Applies only to this one chat.</DefItem>

Nothing happens without your consent. If you do not react, the request expires on its own after a while.

## Locked skills

Owners and admins can lock individual skills under [Assistant > Plugins](/tools/agent/plugins). The assistant knows a locked skill as "not enabled" and tells you so honestly, instead of pretending not to understand the task. So if you ask for a web search and web search is locked, that is exactly the answer you get.
