Troubleshooting
No bookable times, broken calendar sync, skipped WhatsApp messages and other edge cases, each with a solution.
When something does not work as expected, this page lists the most common causes and their solutions, sorted by symptom.
Bookability#
An event type shows no bookable times (warning dot on the card)
The warning dot saying the event type's schedule has no available times usually has one of these causes. Check them in this order:
- Schedule empty? The assigned schedule has no time windows, or a date override blocks the period. Check the weekly grid under Availability.
- Notice and horizon? A long minimum notice plus a short booking horizon can exclude all slots (example: 2 days notice, 2 weeks horizon, but only one window per week).
- Limits reached? The event type's daily limit, or the per-day and per-week meeting limits under Availability > Advanced.
- Holiday? Enabled holiday blocking removes affected days.
- Calendar blocking? A connected calendar with many busy times (including all-day entries) blocks the slots. Check the event type's free/busy rules under more options.
"Diese Zeit ist bereits vergeben." (this time is already taken)
The chosen time was booked in the meantime; it stays excluded even for manual entry. Pick another time. Double bookings are technically impossible; guests see a message that the time was just booked by someone else.
"Dieser Link ist bereits vergeben." (this link name is taken)
Each link name exists only once per workspace, and paused or unlisted event types occupy their names too. Pick a different link name in the event type editor under more options.
A single-use link no longer works
Single-use links expire after exactly one booking or when their expiry date is reached. The guest then sees a message that the booking link has already been used or expired. Simply create a new single-use link, see Event types.
A team event type shows no slots
Round-robin and collective meetings need at least 2 available members. With fewer, the booking page deliberately shows no times. Check the team selection in the event type editor and whether the members have schedules with bookable windows.
Deleting and cleaning up#
A schedule cannot be deleted (still used by event types)
Assign a different schedule to the affected event types in the editor first; afterwards deleting works. The badge showing on how many event types the schedule is active tells you which ones.
An event type cannot be deleted (confirmed future appointments)
That is intentional: confirmed future appointments must be cancelled first. No guest should lose a confirmed appointment without being informed. Cancel the appointments in the meetings area (guests are notified automatically), then delete the event type.
Calendar sync#
Banner: calendar sync is disrupted, busy times are currently not blocked
Open Availability > Calendars and check the feed status (active, error, waiting, disconnected). For error, Jetzt synchronisieren (sync now) often helps; if the error persists, the iCal address has expired or was revoked in the calendar service. Copy a fresh private iCal address and reconnect. While the banner shows, times that are busy in your external calendar can be double-booked.
One-click sign-in with Google or Microsoft fails
The messages at a glance: sign-in cancelled (you closed the dialog, just try again), sign-in expired (too much time in the dialog, reconnect), and connection failed (try again). On success the tool confirms the calendar account is connected and busy times are blocked from now on.
"Die Ein-Klick-Anmeldung ist nicht konfiguriert." (one-click sign-in is not configured)
Signing in with a Google or Microsoft account is not available in your environment yet; it arrives as soon as our app is verified by Google or Microsoft. Until then use the iCal route: it connects any calendar (including iCloud) via its private calendar address and blocks busy times just as reliably. Guide: Availability and calendars.
Messages and workflows#
A WhatsApp workflow was skipped
The log names the reason in plain language. The most common: the guest left no phone number (set the event type's phone question to required), or there was no active 24-hour conversation window (the guest last wrote to you on WhatsApp more than 24 hours ago). Skipped runs cost no credits.
A WhatsApp workflow failed (credit balance insufficient)
Your workspace's credit balance was empty at send time. Top up and use Erneut senden (send again) on the failed run in the log.
Appointment emails do not arrive
Check two levers: first, the switch E-Mail an Gastgeber:in bei Buchung und Absage (host email on booking and cancellation) in Settings (affects the internal host email only). Second, under Workflows, whether the responsible workflow is paused; paused workflows skip open runs. The confirmation and cancellation emails to guests are fixed system workflows and always on; in that case ask the guest to check their spam folder.
Access and limits#
A guest sees an error message while booking
The too-many-requests message is the rate limit against automated access; it resolves after a short wait. The message that the booking page is no longer available means the event type is paused or deleted; check the active switch.
"Dieses Tool ist im Test-Zeitraum nicht enthalten." (not included in the trial)
Appointment Booking is deliberately locked during the trial because your public booking links would go dead after the trial. As soon as you switch to the Compact plan (or higher), the tool is available immediately.
You lack the permission for an action
The action needs a permission your account does not have: event types, schedules, workflows and routing require the configure permission, creating contacts and CSV import require the permission to create contacts. An admin of your workspace can adjust permissions.
