Besides your own folders, the file store maintains some areas automatically: per tool, per property and per person. This page explains what lives in them, what the platform manages and how moving works.
Tools: one folder per tool
Under Tools, every tool automatically creates its own folder and stores its results there with readable names. Today these tools store files:
- AI-Homestaging: finished staging results.
- WhatsApp bot: incoming photos, documents and voice messages in the subfolder Empfangene Dateien (received files).
- Website: the images of your agent website under Tools/Website.
The rules:
- The tool folder itself is locked: it is managed by the platform and cannot be deleted. Trying shows "Dieser Ordner wird von der Plattform verwaltet und kann nicht gelöscht werden." (This folder is managed by the platform and cannot be deleted.)
- The files inside belong to you: moving, renaming and deleting is allowed at any time. The views inside the tool keep working regardless.
- When a tool is uninstalled, its files remain.
Properties: sorted by status, one folder per listing
Under Properties (Objekte) there is one folder per status: active, reserved, acquisition, preparation, draft, paused, sold, ended and archived. The order matches the status tabs on the properties page. Reorder them under Settings › Objekte and the folders follow. Each holds the properties currently in that status, with their photos and documents. Renaming the property renames the folder. The property gallery opens directly in Files, so you work in exactly one place.
Changing the status
The folder always follows the property's status. Change the status under Properties and the folder moves along. It works the other way round too: right-click a property folder, choose Status ändern, and the property takes on the status you picked. If you prefer dragging, drop the folder onto another status folder.
Property folders can only be moved between status folders, on purpose. They belong to a property, not to an arbitrary place in your file tree. Renaming is blocked for the same reason: the name is the address.
Picking Archiviert asks for confirmation, because it really does archive the property. It then disappears from your lists and from your website. The files stay, and you can bring it back at any time.
My files: your private area
My files (Meine Dateien) is the private area of every person in the workspace:
- Only you can see what is stored there. Admins and owners do not see the contents in everyday use; settings only show the total size per person.
- The area counts towards the workspace storage.
- When someone leaves the workspace, their area remains as "orphaned". The owner can then take it over as a normal folder or delete it under Settings > Files. Details: Folder access.
Imported: legacy files
Files that existed before the file store (for example from the onOffice takeover) are registered automatically by a nightly sweep into the matching folders. Anything that cannot be assigned to a property or tool lands in the root folder Importiert (imported).
Reserved names
At the top level the names Tools, Objekte, Meine Dateien and Papierkorb are reserved for the system areas. You cannot create your own folders with these names there; in subfolders the names are free.
Moving and drag and drop
- Dragging: drop entries (including a multi-selection, shown as a stack) onto a target folder or directly onto a breadcrumb.
- From outside: whole folder trees from your file manager can be dragged in too; the structure is preserved.
- Undo: after a move, the success message offers Undo for 8 seconds.
- On the phone the Move to... (Verschieben nach...) dialog replaces dragging.
- Cycle protection: a folder cannot be moved into itself or one of its subfolders; the file store blocks that.
