Troubleshooting
Frequent questions about the file store: upload fails, storage full, file gone, locked folders, invalid share link, search finds nothing.
The most frequent questions and what to do when something in the file store does not work as expected.
Uploads and storage#
My upload fails.
Three common causes: (1) Blocked type: executable files and scripts (.exe, .bat, .sh, .apk and similar) are rejected for safety; unsafe SVG files and empty files are rejected too. (2) Too large: more than 2 GB per file is not possible. (3) Storage full: then the "Speicher voll" (storage full) dialog appears. All rules: Uploads and versions.
The storage-full dialog appears. Now what?
No worries: nothing is deleted automatically, only new uploads fail. Three levers: empty the trash (the dialog shows how much space that frees immediately), review the largest files under Settings > Files and clean up, or switch to a larger plan. Guide: Managing storage.
A large upload was interrupted.
Large files upload in parts and are resumable: open the upload panel at the bottom right and click Resume (Fortsetzen). The upload continues exactly where it stopped.
Files and folders#
A file has disappeared.
Check in order: (1) Replaced? If someone uploaded a file with the same name, it was replaced; the previous state sits as a version in the history (details panel) and can be restored. (2) Moved? Search with Cmd/Ctrl+K finds it by name. (3) Deleted? Look into the trash; restoring is one click there. (4) Restricted folder? If it sits in a folder you are not (or no longer) authorised for, you do not see it at all; ask an owner or admin.
A folder cannot be renamed or deleted.
That is a system folder: the roots Tools, Objekte (Properties) and Meine Dateien (My files) as well as the individual tool and property folders are managed by the platform. Trying shows "Dieser Ordner wird von der Plattform verwaltet und kann nicht gelöscht werden." (This folder is managed by the platform and cannot be deleted.) The files inside can be moved, renamed and deleted as usual.
The message: There is already an entry with this name.
Within one folder every name may exist only once. When renaming or creating, pick another name. Only uploading a file with the same name again causes no conflict: it replaces the existing file and keeps the old state as a version.
A tool file is missing or suddenly sits elsewhere.
Two typical cases: (1) Someone moved the file out of the tool folder; search finds it. (2) A named tool subfolder (such as "Empfangene Dateien" for the WhatsApp bot) was renamed or moved: the tool then creates a fresh folder with the default name on its next file. The old files remain in your renamed folder.
Shares and search#
A share link no longer works.
Three possibilities: the link has expired (duration 7 to 90 days), it was revoked, or the recipient enters the wrong password. Recipients deliberately see only a neutral error message. Solution: check the status under Settings > Files or in the details panel and create a new link if needed. Details: Sharing externally.
Search does not find a file.
Search only shows what you may see: restricted folders without authorisation and other people's private areas stay invisible. Also, the trash is never searched; look there directly. Check active filter chips too (type, time range, "only folder"), they narrow the matches. Content matches only appear for longer queries in plain words.
I cannot create a share link.
Sharing is reserved for owners and admins; for restricted folders the manage level on the folder is required on top. If you lack the right, the interface hides the action, and the backend rejects it as well.
